Terms of service
Please read this carefully.

By registering for the event, participants confirm they have read all the information regarding passes, prices and other relevant issues at the Jazzberry Hop festival website and all the information provided by them is true.

General
All participants will get a wristband according to their pass. You will have to wear this wristband at all times. The wristband is your entrance for classes and parties.You are not allowed to bring your own food to the party venue, which is providing a fully functioning bar with drinks. Organizers do not take any responsibility for the participant’s valuables or physical injuries. Please be careful at all times, for yourself, for others and for your belongings.

Please wear only appropriate indoor shoes at the classes and party venues. Participants are not allowed to record or take photos during the classes, unless the instructors permit it. If necessary, Jazzberry Hop festival organizers reserve rights to amend the event schedule, teachers or other.

Ethics Policy

Our core values are safety, freedom of expression (including the free choice of dance roles), and non-discrimination. We expect the participants of the event to uphold those values as well. Thank you for contributing to making the event a safe space.

If you feel that these values are not being reflected in any manner, please let us know at michaela@swingwings.cz or contact any member of the safe space team.

Any harassing behaviour, such as: 

  • offensive comments related to gender, age, sexual orientation, disability, physical appearance, body size, race or ethnicity, nationality, religion,
  • sexual images in public spaces,
  • deliberate intimidation,
  • stalking, following, 
  • harassing photography or recording, 
  • sustained disruption of workshops or other events, 
  • inappropriate physical contact, 
  • unwelcome sexual attention 
  • or other conduct creating hostile environment for other attendees  

is inappropriate and will be treated with consequences. 

If a participant engages in any harassing behaviour, the organizers are entitled to take steps to stop this behaviour, including warning the offender or expelling the offender from the event with no refund. Participants asked to stop any harassing behaviour are expected to comply immediately.

If you are being harassed, are a witness of any harassing behaviour, or have any other concerns, please contact the members of safe space team immediately. The members of the safe space team and their contacts will be published prior to the event and in the party venues. Please don’t be afraid to ask for help or speak up for someone if you think they are being harassed. We ask all participants to treat each other with respect and keep dancing social-floor friendly. Please be respectful and accept „no“ when asking for a dance. Be equally kind declining the dance. Bear in mind that you should always check for consent and the comfort of your partner, especially while dancing in close embrace or proposing moves with the potential to cross personal boundaries – such as dips or drags. 

To provide a more comfortable dance experience to your fellow dancers we ask all dancers to take care of your personal hygiene. If necessary, bring an extra change of clothes, deodorant or a towel.

Be responsible with alcoholic drinks and other substances that may impact your coordination and space awareness. If you’ve crossed your limits, please be ready to step out of the dancefloor. Don’t be afraid to ask for assistance in getting home safely if needed. 

We are expecting cooperation from all participants to help ensure a safe and comfortable environment for everybody. The safe space team will be ready and happy to help and assist those experiencing harassment so they can feel safe for the duration of the event. We value your attendance and your safety.

Contract closing

The contract with Us can only be closed in the Czech language.

The contract is concluded remotely via the E-shop (booking system), whereby the costs of using remote means of communication are borne by you. However, these costs do not differ in any way from the basic rate you pay for the use of these means (i.e. in particular for access to the Internet), so you do not have to expect any additional costs charged by Us beyond the Total Price. By submitting an Order, You agree to Our use of remote communication facilities.
In order for Us to enter into the Contract, You must create an Order on the E-shop. This proposal must include the following information:

  • Information about the services and goods to be purchased (on the E-Shop you indicate the services and goods you are interested in purchasing by clicking on the „Book“ or „Reserve“ button);
  • Information about the Price and method of payment of the Total Price; this information will be entered as part of the creation of the Order within the user interface of the E-shop, and the information about the Total Price will be provided automatically based on the services and goods you have selected.
  • Your identification and contact details used to record your booking and inform you of any changes, in particular your name and email address.

During the creation of the Order, you may change and check the data until its completion. Once the check has been carried out, pressing the „Order“ button will complete the Order. Before pressing the button, however, you must confirm your familiarity with and acceptance of these Terms and Conditions, otherwise you will not be able to complete the Order. The check box is used to confirm and agree. After pressing the „Order“ button, all completed information will be sent directly to us.

We will confirm your Order as soon as possible after it is delivered to Us by a message sent to your e-mail address entered in the Order. The confirmation will include a summary of the Order and these Terms and Conditions as an attachment to the email message. The Terms and Conditions as in force on the date of the Order, i.e. as attached as an attachment to the confirmation email, form an integral part of the Contract. Confirmation of individual bookings under the Order sent to You shall constitute the conclusion of the Contract between Us and You.

In the event that the Contract is concluded, You are obliged to pay the Total Price.

Payment and delivery terms

You pay a participation fee for participation in the Festival and the individual workshops, dance classes and accompanying services. The amount of the fee is indicated for each service offered, including VAT, within our e-shop and in the Order proposal. The total price is inclusive of VAT including all charges provided for by law. We will require you to pay the Total Price after the conclusion of the Contract and before you use the Services. You can pay the Total Price in the following ways:

  • By bank transfer. We will send you the information for making the payment as part of the Order confirmation. In the case of payment by bank transfer, the Total Price is payable within 3 days.
  • By card online. In this case, payment is made through the ComGate payment gateway, and payment is subject to the terms and conditions of this payment gateway, which are available at: https://www.comgate.cz/smluvni-dokumenty. In the case of payment by card online, the Total Price is payable within 3 days.

The current participation fee, prices, including any discounts, can be found on our website and also for each course separately in the booking form on the website. The price amount stated on the website during the booking process may be further reduced by a discount. The final price (including any discounts) is shown on our portal when you view the recap of your new booking. If we have made a mistake and the amount of the participation fee displayed on the website or indicated in the payment details is obviously incorrect, we reserve the right to withdraw from the Agreement.

The participation fee may be reduced by a discount according to the current discount offer listed on our website. The discount is cumulative with other discounts on the Site unless otherwise stated. The discount is activated at the time of booking. In the event of cancellation of an already paid reservation that has activated the quantity discount, you will no longer be entitled to the discount and will be asked to pay the additional price (originally reduced by the selected discount).

In the case that your booking is accepted more than 4 days before the last day of the booking period for the festival, the course fee will be payable within 3 days of the payment details being sent. If your booking is accepted 4 days or less before the last day of your booking period for the course, the course fee will be payable by the second day after you send your booking acceptance. We will notify you by email when the due date is approaching.

Once the participation fee has been paid, we will send you an e-mail with information about the receipt of payment and final confirmation of your reservation. We will send you proof of payment and service provision if you request us to do so by email.

The services you have ordered can then be used at the time and place of the festival, which are listed on our website or in our e-shop (in the booking system). The physical goods you have reserved and purchased will be issued to you on site at the time of the festival on proof of payment.

Cancellation Policy

If the participant decides to cancel the registration, the part of the price to be refunded depends on the date of cancellation:

  • For cancellations before December 1st, 60 % of the pass cost will be refunded.
  • For cancellations after December 1st, no refunds can be granted. In case of serious issues (e.g. health), the refunds will be assessed individually.

For any requested refund, there is an additional 5% administration fee from the ticket price.

The passes are transferable. In the case you won’t be able to join the festival after purchasing your pass, please contact us and we recommend you to try and sell your pass:

  • If you registered as a follower, you can sell your pass ONLY to another follower.
  • If you registered as a leader, you can sell your pass ONLY to another leader.
  • The passes can’t be transferred to the next year’s festival.
  • If you sell your pass, let the organizers know asap.

Jazzberry Hop festival organizers reserve the right to cancel the event at any given time. In this case we will pay 100 % reimbursement.

In case the registration has to be canceled due to applicable legal restrictions (eg. during pandemic situation, war, etc.):

  • If a participant is not allowed to enter due to official restrictions, we offer a 90% refund or a transfer of a festival ticket to another edition. Email us and request your refund with proof of the changed measures and legal information.
  • If organizers have to cancel the event, we will refund 90% of the ticket price or allow a transfer of the festival ticket to another edition.

Data Privacy

We care about your personal data protection. We use the data given by you only for the organization of the festival. We have received the data directly from you through the registration system. We keep your data only for a certain time specified by law and will delete it immediately if you ask us to do so. This data can be accessed by Swing Wings, their assigned employees and external provider of the registration system. The data are maneged by the registration manager, organizer and directors of the association. Your data is not given to any other subject. Organizers collect this data: Registration to the festival – name and surname and e-mail address. If you have any questions or wish to delete your personal data from our database, please contact us at pilot@swingwings.cz

A participant may appear in photos or videos made by the organizer or representative. The organizer can use these media for any purpose related to Jazzberry Hop festival or other artistic purposes of any form. Participants agree that these media are the sole property of the organizer. If you do not wish to be photographed please contact us at pilot@swingwings.cz
